Billing
Manage your kaijustamps subscription — start, review, or update billing.
Keeping your subscription active means you can keep issuing cards and delighting regulars.
Each brand bills separately through Polar. Inside kaijustamps you see plan details, subscription status, and buttons to start or manage billing. Payment details and cancellation live on Polar's hosted checkout and customer portal — we never store your full card number.
Who can use this
ownerandadmin— view billing, start checkout, open the Polar customer portal, and refresh sync statusmember— no access to billing settings or billing actions
Before you start
- You are signed in with the correct brand set as active.
- Billing is per organization — switch brands if you manage more than one shop.
Step-by-step
1. Open Billing Settings
From the brand dashboard, click Billing settings in the sidebar (/dashboard/brands/[organizationId]/settings/billing). The page title is Billing Settings.
2. Review an active subscription
When your brand already subscribes, the status badge shows Active (or Trialing for an existing subscription still in its trial period). The current standard plan includes:
- $8/mo monthly fee
- 500 included issued cards per billing period
- $0.015 per additional issued card over the included amount
- 1 stamp card program, unlimited stamp accrual, and unlimited staff devices
Your first subscription starts at $4/month for the first 2 months (50% off the monthly fee), then $8/month. 500 issued cards are included each month; additional cards cost $0.015 each. There is no free trial.
Click Manage subscription to open Polar's hosted customer portal — update payment methods, review invoices, or schedule cancellation there. Use Refresh if you just returned from Polar and want the latest status pulled immediately.
Active subscriptions can issue customer cards. Existing subscriptions still in a trial period can also issue cards.
3. Start billing for a new brand
When no subscription exists yet, the status shows No subscription. Review the same plan features, then click Start billing.
kaijustamps redirects you to Polar Hosted Checkout (outside this app). Review the introductory discount and payment details, complete your paid subscription, then return to Billing Settings. Status updates to Active after Polar syncs. New subscriptions do not have a free trial.
4. After checkout or portal visits
When you return from Polar checkout or the customer portal, kaijustamps refreshes billing automatically.
- If Polar has not created a subscription, Billing Settings shows Start billing.
- After Polar creates the subscription, Billing Settings shows Manage subscription.
- Click Refresh at any time to pull the latest subscription status from Polar.
Payment method details appear only as a safe summary (for example card brand and last four digits) when Polar provides it. Full payment editing always happens in the portal.
What success looks like
- Subscription status is Trialing or Active.
- You can issue customer cards and run shop scanners.
- Manage subscription opens Polar for payment or cancellation changes.
Tips / Common issues
- Per-brand billing. Each organization has its own Polar customer and subscription — multi-shop owners set up billing once per brand.
- Members are blocked. Counter staff cannot open billing; ask an owner or admin to start or fix subscription issues.
- Shop operations need billing. Stamp accrual and reward scanners show a billing warning when subscription is not trialing or active — use Open billing from those screens if you have access.
- Introductory offer. The discount is for a first subscription. Starting checkout again for the same brand reuses the existing Polar customer and does not guarantee another introductory discount.
- Checkout interrupted? Return to Billing Settings. If Polar has no subscription yet, use Start billing again.
- Past due? Open Manage subscription in Polar to fix payment issues.
- Next step. Billing active? Publish your Stamp Card Program and start Card Issuance.
